AI Workflow Implementation · The Flow Lab

Your team is busy. Most of that work shouldn't exist.

We audit how your business actually runs, find the hours lost to manual, repetitive work, and rebuild those workflows with AI — implemented, tested, and your team trained. Not a slide deck of recommendations. Working systems.

Why adoption stalls

The gap isn't the tools. It's the implementation.

Every team has tried ChatGPT. Almost none have changed how they operate. Here's why AI adoption stalls inside growing businesses:

SYMPTOM / 01

Scattered experiments, no system

A few employees use AI in private. Nothing is shared, standardized, or compounding. The gains evaporate when one person leaves.

SYMPTOM / 02

Tool fatigue, not tool leverage

You've bought subscriptions that nobody opens. The problem was never which tool — it's that nobody mapped them to your actual workflows.

SYMPTOM / 03

Your best people do robot work

Senior staff spend hours on reporting, formatting, follow-ups, and data shuffling. That's payroll spent on work software should do.

The process

From audit to adoption in six weeks.

A fixed, four-phase engagement. You know what you're getting, when, and what it costs before we start.

PHASE 1 / WK 1

Workflow audit

We sit inside your operations for a week — shadowing how work actually moves between people and tools, and timing where hours leak.
DeliverableTime-leak map + automation opportunity report
PHASE 2 / WK 2

AI roadmap

We prioritize by ROI: which workflows to automate first, which tools fit your stack and budget, and what stays human on purpose.
DeliverablePrioritized roadmap with projected hours saved
PHASE 3 / WK 3–5

Build & implement

We build the automations, set up the tools, connect your systems, and test against real work — not demos. You watch it run before you rely on it.
DeliverableLive, tested workflows in your environment
PHASE 4 / WK 6

Train & hand off

Your team learns to run, adjust, and extend everything — with documentation written for humans, not engineers. No dependency on us.
DeliverableTeam training + playbooks + 30 days of support
Outcomes

What transformation actually looks like.

We measure engagements in hours reclaimed and processes retired — not vibes.

10–20

Hours back per person, per week

Reporting, drafting, triage, and data transfer become background processes instead of someone's Tuesday.

6 wks

From kickoff to running systems

A fixed timeline with deliverables every phase. You'll see working automation by week three.

0

Ongoing dependency on us

Everything is documented and your team is trained. We build capability, not a retainer hostage situation.

Fit check

Built for teams ready to operate differently.

A strong fit if you are

  • A founder or operator of a 5–50 person business doing real revenue
  • Watching skilled people spend hours on repetitive, manual work
  • Already convinced AI matters — but stuck on where and how to start
  • Ready to invest in implementation, not another strategy document
  • Running on common tools (Google Workspace, Notion, Slack, CRMs) we can connect

Not a fit if you want

  • A cheap freelancer to “set up ChatGPT”
  • Custom software engineering or a built-from-scratch product
  • To replace your team rather than amplify it
  • Results without giving us access to how your business actually works
Who you work with

Led by a designer who builds, not a consultant who recommends.

The Flow Lab is run by Angel, a product designer and creative technologist with 7+ years designing how people work with software — including products used by millions. She now spends every day inside the AI tool ecosystem: testing, building with, and teaching the tools most consultants only read about.

That combination matters. Automation that ignores how humans actually work gets abandoned in a month. We design workflows your team will genuinely adopt — because adoption, not technology, is where ROI lives.

  • EcosystemFounders Inc. (SF) cohort member; Senior UX Consultant, SF AI Labs
  • ApproachHands-on builds with today's leading AI tools — evaluated daily, not annually
  • LensPsychology degree (UBC) — adoption is a human problem first

FAQ

Questions, answered.

How do you calculate ROI on an engagement like this? +

Simple math: hours reclaimed × loaded hourly cost of the people doing that work. If we return 15 hours a week across a team whose time costs $60/hour, that's ~$46,000 a year in capacity — against a one-time engagement. We model this for your specific team in the audit phase, before you commit to the full sprint.

Do we need to be technical? +

No — that's the point. Everything we build is operated through tools your team already understands, with documentation written in plain language. If your team can use Slack and Google Docs, they can run what we hand over.

What about our data and privacy? +

Part of the roadmap phase is selecting tools whose data policies fit your requirements — including options that keep sensitive data out of model training. We document exactly what data flows where, and you approve it before anything goes live.

Will this replace people on our team? +

Our engagements are designed to redirect your existing team's hours toward higher-value work — the selling, building, and client work that actually grows the business. The companies that win with AI amplify their people; they don't gut them.

What happens after the six weeks? +

You're self-sufficient. You get playbooks, training recordings, and 30 days of support for questions. Many clients book a quarterly tune-up as new AI capabilities ship, but it's optional — never required.
